Organizations, users and roles

Organize your network with Virtual Spaces, manage users, and control access with roles.

2.1 How MATX organizes your network

Large chains need structure: head office sets the brand, regions run promotions and branches need screens that just work. In MATX, you build that structure with Virtual Spaces, Users and Roles & Permissions.

  • Virtual Spaces group content and devices, for example by brand, region or branch. A Virtual Space is required when you upload media and when you add a device.
  • Users are the people who sign in to the portal.
  • Roles & Permissions define what each user is allowed to do.

Administrators manage these from the profile menu. Administration Overview is the starting point for administration tasks.

2.2 Create a Virtual Space

  1. Open the profile menu and select Virtual Spaces.

  2. Click Create Virtual Space.

  3. Enter a Space Name and a Description.

  4. Save the Virtual Space.

2.3 Add members to a Virtual Space

Members of a Virtual Space can work with its content according to the role you assign them.

  1. Open the profile menu and select Virtual Spaces.

  2. Find the Virtual Space and open Manage Members.

  3. Use Select User to choose a person.

  4. Use Assign Role to choose the role for that person in this space.

  5. Save your changes.

2.4 Manage users

The Users page lists the people who can sign in to your MATX portal.

  1. Open the profile menu and select Users.

  2. Review the list of users.

  3. Use the options on the page to add a user or update an existing one.

  4. Give the user access to the right Virtual Spaces. See Add members to a Virtual Space.

A new user receives an email invitation. They open the link, set a password and finish setting up their account. The invitation shows an expiry date seven days after it is sent, and the Users page shows the invitation status, such as Accepted, Expired or Revoked.

2.5 Set up Roles & Permissions

Roles & Permissions control what each type of user can do in the portal. Use roles to separate people who prepare content from people who are allowed to publish it.

  1. Open the profile menu and select Roles & Permissions.

  2. Review the existing roles and the permissions each one includes.

  3. Create or adjust roles to match how your teams work, for example a content creator role and a publisher role.

  4. Assign roles to users through Manage Members in each Virtual Space.

To use roles as part of a content review process, see Approvals.

2.6 My Profile, System Settings and What's New

  • My Profile holds your own account details.
  • System Settings holds settings that apply to your MATX portal. Only administrators should change them.
  • What's New describes recent changes to MATX.
